Notes from Abby Teet’s Hostess Coaching Call  2-27-14


Hostess coaching sets the stage for the party – it is the prep work to make the parties as successful as possible.
Why do it?  - don’t take it for granted that she knows what to do, even repeat hostesses need my/our guidance
1st contact (upon booking party) - start coaching at the party where she books – go over hostess packet & score card
“I take pride in my business & you are my partner.  I want you to have the BEST
party possible.  If I don’t have “YES” on each of these when I come to your party
I’m going to give you a gift.”
THIS KEEPS ME ACCOUNTABLE TO HER & MYSELF TO DO THE COACHING!
Don’t go into a lot at the party because she isn’t paying attention; keep it simple & easy
It has to stay FUN!
Inside Abby’s hostess pack:
1 style guide
3 outside order forms
score card
Set up a time for next contact to go over the packet & have my copy of score card for her with me at that call.
Abby gets guest lists via email, text or they can handwrite & text a photo or just call her!
2nd contact (within 48 hours of booking) - cover the hostess pack, sale/specials, etc.  “I’ll cover the customer special at your party, but some people just won’t be able to make because of the date but every woman LOVES lia sophia”
“ (hostess name) if they want to place an order they can call me, just give them my number.  They can order online – I’ll send you an email with how they can do it, or they can tell you & then you contact me & I’ll give you a total.”
Remember, she is “hiring” me to provide the best party possible.
Out of town guests are okay because we can direct ship to them.

3rd contact (2 weeks before party) – invitations designed, mailed & delivered
Put my contact info on invite that guests can contact me to place orders if unable to attend.  Lets them know that we are still looking for an order.

4th contact (within 48 hours of mailing invites) - Email that invites have gone out & how unattending guests can  order:
1.  Call me.
2. Online – here’s the steps:
1. Go to (website address)
2.  Select “Browse Our Jewelry”
3.  Type in hostess name in the appropriate box
4.  Select your items & submit your order
3.  Order forms with hostess
She has now discussed/heard from me about outside orders twice so she knows it is expected.
***Katie’s note/reminder – ask her to respond to your email so you know it & the invites for her were received***
5th contact (72-48 hours before party) – make guest reminders of the party easy for her by sending her a redstamp card/photo to send on to guests via text or email
6th contact (day before party) – Pre-party pump up call – set the tone by being EXCITED!!!  Get an idea of how many guests are expected.  If she’s upset about not as many showing up, tell her that we’ll just concentrate on those who are coming & not worry about the rest!
7th contact – PARTY TIME!  Give her the hostess gift she selected.   This is on the score card so she sees I’m bringing it to the party, not before.  Insurance not to cancel the party. ;)
8th contact (when closing the party) – share the business!  Remind her of what she got – PUMP her UP & ASK!!!  Also remind her of new style guide in 6 months “I’d love to come & party with you again!”  
-getting them re-booked while they are excited they put it on their calendar & it is an appointment for them to keep
-call her when new books are out – I’m sending you one so you can pick your Thank You:  I still have your guest list, did you want to add anyone to it?
Rebook verbiage:  You got $ ____ in FREE jewelry, I’m so excited for you!  Lia sophia has a new book coming out in  (Feb or Aug), I’d love to go ahead & get you on my books in ____(6 months) to show you the new jewelry.  We did a Thursday, how about another Thursday in ____ month?  I have ___ & ___ dates available.

Hostess Coaching CALLS

First Call  (2-3 days after show is booked)
  1. Thank her for her guest list or remind her to mail it.
  2. Ask is she has personally called to invite her guests.
  3. Remind her to encourage guests to bring a friend.
  4. Ask how she is doing on her wish list. Encourage her to select at least $200 from the catalog.
  5. Remind her to ask for outside orders for those who can’t come.
  6. Who does she think will want to book a show?
  7. Ask if she has had a chance to take a look at the “Live a Dream” brochure or 5 Week Trial flier.




Second Call (2-3 days after invitations have been mailed)
  1. Ask if she received a copy of her invitation in the mail.
  2. Ask how she is doing on outside orders and bookings.
  3. Encourage her to have her outside orders ready when you arrive.
  4. Review her wish list – write it down and put it in her hostess envelope.
  5. Ask her if she knows anyone who would be interested in earning some extra income. Encourage her to invite them. Has she ever considered this herself?



Third Call (2-3 days before the show)
  1. Ask how many guests she is expecting (so you’ll know how many catalogs and supplies to bring.)
  2. Ask her to call her guests and remind them of her show and encourage them to bring friends. (Remind them of your “bring a friend” get free gift offer.)
  3. How many outside orders? What do they total? (Get her excited about earning the items on her wish list!)
  4. Remind her to keep refreshments simple.
  5. Ask her if you may use her kitchen or dining room table for your display? If not, does she have end tables, coffee table, bookshelf, or kitchen counter?
  6. Ask for directions to her house.
  7. Let her know you are excited to meet her friends and family. Be enthusiastic about what a great show it will be.
  8. If she has shown an interest, ask her if she’s thought about making this her starter show.
